Purpose

Method

Our company develops OEM products, selects OEM suppliers that meet the requirements, uses qualified raw materials according to the formulas and production processes provided by our company, and produces products that meet our standard requirements in accordance with our production standards, based on the independent quality control of the OEM suppliers, supplemented by our company’s supervision, inspection and auditing.

Scope of application

This process is applicable to all food products OEM business of XX Company.

Terminology

OEM Mode: We are responsible for designing or other parties designing the products, and entrust one or more qualified factories to produce according to the formula and process requirements provided by our company, and produce the products in line with our standard operation mode;

Resident QC: Specialized personnel responsible for on-site quality and production control in factories that are OEM for (so-and-so) soymilk products.

Authority and responsibility

5.1 General Manager:
5.1.1 Responsible for the review and approval of the overall planning of product OEM;

5.1.2 Responsible for batch OEM product small test, pilot, mass production review and approval.

5.2 Marketing Department
5.2.1 The collection of the latest industry information, market trends, responsible for product direction, market positioning determination;

5.2.2 Formulation of product packaging forms and materials, participate in the confirmation of OEM supplier list;

5.2.3 Organize the listing and marketing of OEM products, and be responsible for the collection and summary of feedback information during the trial sale stage;

5.2.4 Organize the summary meeting of each stage before the successful launch of OEM products and the follow-up of improvement measures;

5.2.5 Estimation of annual demand and monthly demand after the products are officially launched;

5.2.6 Dealer management, product sales, sales support, sales order receiving and processing.

5.3 Customer Service Department
5.3.1 Evaluate the logistics status of OEM suppliers and provide reference opinions on logistics and warehousing for the qualification audit of OEM suppliers;

5.3.2 Leading the DC warehouse site selection, establishment, logistics and warehousing feasibility assessment;

5.3.3 Real-time monitoring of product warehouse inventory and reasonable replenishment of inventory;

5.3.4 Maintain the daily work of product receiving, delivery, warehousing and shipping;

5.3.5 Early warning of stagnant products and non-conforming products in the warehouse, and cooperate with the purchasing of soybean milk products department to deal with non-conforming products;

5.3.6 Receive and initially deal with product complaints, and lead the closed loop of complaint issues.

5.4 Product Department – Purchasing Department
5.4.1 Real-time collection of OEM products with OEM demand, qualified OEM supplier information, reserve OEM supplier;

5.4.2 Organize each department to conduct field visits to factories, leading each department to determine whether to enter the product OEM supplier list;

5.4.3 Organize the qualification assessment of OEM suppliers’ requisites by each department to determine whether to enter the list of qualified suppliers;

5.4.4 Responsible for pre-cost budgeting, determine the price of OEM products to ensure that the product profit to meet expectations;

5.4.5 Responsible for the development of our supporting materials, specialized raw material suppliers, leading the departments of supporting materials, specialized raw material suppliers qualification review to determine whether to enter the list of qualified suppliers;

5.4.6 Responsible for the management of qualified suppliers of OEM factories, provide OEM suppliers with information on our specialized raw material suppliers, and assist OEM suppliers in the control of our specialized raw material suppliers;

5.4.7 Coordinate with OEM suppliers on the timing of small, medium and mass production of products, and assist OEM suppliers in the procurement of special raw materials for small and medium trials;

5.4.8 Responsible for business negotiations with OEM suppliers, signing OEM contracts and other relevant agreements;

5.4.9 After the formal production, responsible for the OEM product monthly demand issued, the initial shipment plan;

5.4.10 Responsible for OEM suppliers specific shipping product order details of the order, follow-up logistics tracking and processing;

5.4.11 Review and payment of relevant payments in the whole process of OEM, and cost monitoring in the process of operation;

5.4.12 Fully participate in the daily management of OEM production after formal production, as a window for external communication;

5.5 Product Department-R&D Department
5.5.1 According to the product direction provided by the marketing department, provide product concept innovation, product feasibility analysis;

5.5.2 OEM products according to the market zone to develop the initial formula, from the Purchasing Department to provide products supporting accessories, raw materials suppliers to obtain the formula required for the raw materials, make a small sample to the marketing department after confirming the final formula;

5.5.3 According to the final formula from the list of OEM suppliers provided by the Purchasing Department to select the OEM factory with the right equipment and process;

5.6 Product Department – Quality Department
5.6.1 Provide regular QA/QC specifications, and give opinions and suggestions to market, R&D on food safety laws and regulations;

5.6.2 Provide inspection methods and reference standards according to the specification sheets of raw materials, semi-finished products and finished products provided by R&D;

5.6.3 Evaluate the quality system, environment and testing capability of OEM suppliers, raw material and product supporting suppliers during on-site factory visits;

5.6.4 Participate in OEM products of small pilot, pilot, mass production, in accordance with the standards provided by the R & D, production process at this stage of the raw materials, product matching, semi-finished products, finished products inspection, the production process of the production process of critical quality control points for inspection;

5.8.1 Payment of product OEM process, OEM supplier qualification audit to assess their financial status;

Workflow

6.1 OEM product development
6.1.1 The Marketing Department provides the product direction and market positioning of OEM products, R&D is responsible for feasibility analysis of the product direction, and provides initial ingredients, additive functions, and product implementation standards in accordance with the market positioning of OEM products;

6.1.2 Quality provides regular QA/QC specifications, such as food additives banned by the government, the latest food safety regulations, etc.; give advice and suggestions to marketing and R&D on food safety laws and regulations;

6.1.3 R & D to make the initial formula, the production of preliminary product and packaging introduction (product nutrients, formulations), together with the marketing department to design the packaging copy design draft, submitted to the Quality Department for review, the Quality Department in a week to review the completion of the record, such as the need for the record in advance, please record the need for the submission of relevant information or data to the Quality Department;

6.2 OEM factory qualification
6.2.1 The Purchasing Department collects real-time information on OEM suppliers with demand for OEM products and qualifications, and includes it in the list of reserve OEM suppliers, and the R&D Department selects OEM suppliers with the ability to produce OEM products from the list of OEM suppliers and submits them to the Purchasing Department;

6.2.2 Before the field visit to the factory, the Marketing Department, R & D Department to provide products with a clear form of packaging and materials, R & D Department to confirm the production process, basic formulas, equipment parameters, to assist the Marketing Department to confirm the form of packaging and materials, and to provide to the Quality Department of the relevant raw materials, products supporting the key quality indicators;

6.3 Trial production of OEM products
6.3.1 Purchasing Department coordinates with OEM factory to arrange the time for small trial, R&D Department takes the lead to carry out the small trial in OEM factory according to the initial trial formula confirmed by the Marketing Department, Quality Department collects the production data of the whole mid-production stage according to the process standard, product quality inspection standard, process control standard, and raw material acceptance standard;

6.4 OEM products formal production stage (OEM daily management)
6.4.1 When OEM products are produced, raw materials and product support are procured independently by OEM suppliers. 6.4.4 Raw materials, product matching by OEM suppliers in accordance with our standards to carry out independent testing, quality department is responsible for monitoring the OEM supplier test results in line with our requirements;

6.4.5 The production process monitoring of OEM products is carried out by OEM suppliers independently, and the Quality Department is responsible for supervising whether it meets the requirements of our company (production process parameters, production process control standards), and monitoring the sensory, physical and chemical and microbiological index testing of semi-finished products;
